Community Picnic 2019

This is our 4th annual picnic and our first year out at the Shady Springs location. This is a great chance for families from all three campuses to celebrate the start of the school year together. We welcome your family and your friends to join us at Shady Springs' 20-acre property near the airport.

At The Event
Once you park, stop by the Check-In Table located on a gravel path as you walk into the event. We will get you checked in and give you a wristband for entry. Attendees who purchased a meal ticket will receive an orange wristband, attendees who only purchased entry will receive a blue wristband. Please wear your wristband for the duration of the event. There is no need to print a ticket, but you may be asked to see the email receipt on your phone.

If you did not purchase an online ticket by the deadline, you will be able to purchase entry tickets at the Check-In Table ($11 for students, $17 for adults, Kids 4 and under free) with cash or a card. Online entry ticket sales ended on Friday, September 20 at 12:00 p.m. 

Volunteers will also be able to check-in for their volunteer spot.

Once you Check-In, we will have a Welcome Table with maps, name tags, and someone to answer any questions. To help with the Check-In flow, please save questions for the Welcome Table.

If you purchased a meal ticket, meal service will be from 1-3 p.m. Meal ticket sales ended on Thursday, September 12, 2019. Meal tickets will not be available for purchase at the event.

    Please be careful as you make your way to Shady Springs. As you navigate there, you will notice construction on Ben White please take a look at how to get to the venue in advance.


    Using Google Maps or Apple Maps are both efficient way to navigate to the venue. We will also have a few signs letting you know that you are headed the right direction. We also have this map that was provided by Shady Springs

  • Can I purchase food and drinks? Will water be available?

    If you purchased a meal ticket, meal service will be from 1-3 p.m. Meal ticket sales ended on Thursday, September 12, 2019. Meal tickets will not be available for purchase at the event. 

    There will be complimentary water, tea, and lemonade on hand for all attendees, so bring a reusable cup or water bottle!

    Guests are allowed to bring their own food and drinks as long as you follow the What to Bring/Not to Bring protocols of no nuts, no glass, and no alcohol.
  • Can I bring my own food and drinks?

    Your meal ticket purchases help support this event, but if you have special food needs you are welcome to bring food (but no nuts, please). No glass containers.

    The PVC will be hosting a bake sale at the picnic, with proceeds from the sale going toward PVC community-building events this school year. Cash and credit accepted.

  • Seating

    There are plenty of shaded picnic tables and indoor picnic tables for attendees. Keep an eye out for a flag with your class! There is also a big field perfect for a picnic blanket.
  • Who is lifeguarding?

    At the larger fenced-in swimming pool (3 ft to 9 ft) there will be a lifeguard provided by Shady Springs staff. At the two smaller water areas (wading pool and splash pad), there are no lifeguards on staff. We ask that parents supervise their own children anytime they are near water.
  • What are the bathrooms like?

    There is an on-site bath house with two restrooms inside. There is also a stand-alone ADA-compliant bathroom. 
  • ADA Accessibility

    Yes, with some planning and accommodations. There are handicap parking spaces available, and a ramp into the barn. The ground is uneven and gravelly in spot. Please let us know if you would like to make a plan.
  • Pets & Service Animals

    No, even though we love them, no pets are allowed on site. Please notify us at picnic@headwaters.org if you plan on bringing a service animal (no emotional support animals permitted).
  • Parking

    We will have parking attendants to help maximize the parking area to it’s capacity. Please drive slowly down the driveway and at the fork, please take a left towards the parking lot. If the main lot fills, we have an overflow lot that we will direct guests to on-site. 

    There will be limited handicapped parking at the venue. If you require handicapped parking, please bring your placard and email communications@headwaters.org.
  • Will there be First Aid?

    We will have a first aid table staffed by medically trained volunteers and supplied with items for basic first aid.
